We are looking for a seasoned, driven Executive Assistant to provide support to a Chairman of a leading Private Equity firm. You will work in partnership with the Chairman’s Chief of Staff and domestic staff to provide both business and private support to the Chairman, operating in a corporate environment in their Malta Office. As his EA, you will be the Chairman’s primary point of contact for managing his business commitments and ensuring they align tightly with his personal life. You will have the opportunity to grow and expand responsibilities as you progress. This role requires flexibility to work with different time zones and a small amount of out of hours support as the Chairman travels extensively and his schedule can be back-to-back.
Duties Included: (but not limited to)
Complex calendar management across multiple time zones.
- Adapting to a fast-paced business environment, understanding priorities, criticality of certain meetings, preparation required, and translating this into astute planning.
- Gatekeeping to ensure the chairman keeps to diary commitments and is represented in the best possible way.
- Working closely with the Chief of Staff, domestic team, and accounting team to ensure personal and business commitments are seamlessly coordinated.
- Managing a high volume of email communications in a timely, responsive fashion. Writing and editing emails and internal posts on the Chairman’s behalf.
- Arranging all travel and producing meticulous itineraries for business and personal trips inc. visa’s, private jets etc. • Managing Private Club Memberships, charitable contributions, and a varied social calendar.
- Processing business and personal expenses for the Chairman in a timely manner.
- Building positive relationships with UHNW contacts, representing the Chairman and the Company at all times.
- Integrating successfully within the team as a trusted, collaborative colleague.
- Occasional travel with the Chairman if required.
Essential Experience:
- 8-10 years’ experience providing business and private support to a CEO / Founder, ideally of an investment firm or family office environment.
- Experienced dealing with senior business leaders, HNWs, and their assistants and staff.
- Excellent MS office / excel / general IT skills.
